1. Application and Eligibility

1.1 Applicants must provide accurate and complete information on the application form. Any false or misleading information may result in disqualification, and all fees paid will not be refunded.
1.2 The Festival reserves the right of final acceptance and may adjust the number of participants based on application circumstances.
1.3 Participants must meet the age, proficiency level, and repertoire requirements for their chosen category. The Festival reserves the right to request relevant supporting documents.

2. Fees and Payment

2.1 Participants must pay the full registration fee by the specified deadline. Late payment will result in the participant being placed on a blacklist. The information of blacklisted individuals may be shared with third parties.
2.2 All registration fees paid are non-refundable, except as provided in Section 3 of these Terms.
2.3 All fees must be paid in Hong Kong Dollars (HKD). Any bank transfer charges are to be borne by the participant.

3. Withdrawal and Cancellation Policy

3.1 Participants who wish to withdraw from the Festival for personal reasons must notify the Festival in writing (via email) .
3.2 If a participant withdraws more than 10 days after the date of application submission, without providing a reasonable reason (e.g., serious illness, family emergency, etc., supported by relevant documentary evidence), the Festival will charge an administrative fee equivalent to the full registration fee (HKD 600), and all fees paid will not be refunded.
3.3 If a participant can provide a reasonable reason with supporting documents, the Festival will consider the case on its merits, although an administrative fee of no less than HKD 100 may still be deducted.
3.4 In the event of cancellation or postponement of the Festival due to inclement weather, government orders, or other force majeure circumstances, the Festival will make appropriate refund or rescheduling arrangements on a case-by-case basis. Administrative fees remain non-refundable.

4. Performance Demonstration Video

4.1 Participants must submit a performance demonstration video of no less than 1 minute in length by the specified deadline. The video must feature the instrument for which the participant has registered.
4.2 The video may be a recording taken within the past 3 years, provided that the participant guarantees that the performance is authentic and performed by themselves.
4.3 If a participant fails to submit the video by the deadline without prior written approval from the Festival, the Festival reserves the right to cancel the participant’s eligibility.
4.4 By submitting the video, the participant agrees that the Festival may use it for internal assessment, educational purposes, and promotional activities.

5. Mock Performance and Official Performance

5.1 The mock performance is recommended but optional. The participation fee is already included in the registration fee. Participants who are unable to attend must notify the Festival in advance.
5.2 The Festival reserves the right of final decision on the repertoire, performance order, and timing arrangements for the official performance.
5.3 Participants must arrive punctually for rehearsals and the official performance. Late arrival or absence may affect the participant’s eligibility to perform.
5.4 During performances, participants must comply with venue rules and follow the instructions of Festival staff. Failure to do so may result in disqualification.

6. Ticketing Arrangements

6.1 Each participant will receive one complimentary ticket to the official performance. No additional purchase is required.
6.2 Additional tickets may be purchased at the preferential price announced by the Festival, subject to availability while stocks last.
6.3 All ticket sales are final. No exchanges or refunds will be accepted.
6.4 Lost tickets will not be replaced.
6.5 Ticket holders must comply with venue regulations and present valid identification documents upon entry (where applicable, e.g., for concessionary tickets).

7. Image Rights and Publicity

7.1 The Festival reserves the right to take photographs, audio recordings, and video recordings during the event for documentation, educational, promotional, and publicity purposes.
7.2 Participants and their guardians consent to the Festival using such images and recordings on official websites, social media platforms, and other promotional channels without prior consent or compensation.
7.3 If a participant does not wish to be photographed or recorded, they must notify the Festival in writing prior to the event. The Festival will make reasonable efforts to accommodate such requests but cannot guarantee complete exclusion.

8. Personal Data Collection Statement

8.1 Personal data provided by participants will only be used for application processing, event arrangements, and communication purposes related to the Festival.
8.2 The Festival undertakes to comply with the provisions of the Hong Kong Personal Data (Privacy) Ordinance (Chapter 486) and will not disclose participants’ personal data to third parties without prior consent.
8.3 Participants have the right to access and correct their personal data. Such requests should be made in writing to the Festival.

9. Disclaimer

9.1 Participants are responsible for assessing and bearing any risks associated with their participation in the Festival, including but not limited to loss of personal property or personal injury.
9.2 The Festival, its staff, tutors, and venue providers shall not be liable for any loss or damage arising from any cause during the event, except in cases of gross negligence.
9.3 The Festival reserves the right to amend these Terms and Regulations at any time. Changes will take effect immediately upon publication on official channels.

10. Final Interpretation

10.1 The Festival reserves the right of final interpretation of all Terms and Regulations.
10.2 In the event of any dispute, the decision of the Festival shall be final and binding.
